Privacy Policy

1. Who this policy covers

FieldBuilds is a platform for construction teams to manage projects, RFIs, daily logs, files, and communication. This policy explains what personal information we collect through the FieldBuilds mobile app and web application, why we collect it, who we share it with, and the choices you have.

FieldBuilds is a business tool sold to companies. Your employer or the organization that invited you is the party that decides what data is entered into FieldBuilds and who inside that organization can see it. We process that data on their behalf. If you want data corrected or removed, contacting your organization's administrator is usually the fastest route — but you can always reach us directly using the details at the end of this page.

2. Information we collect

We collect the following categories of information.

Account information

When you are invited to an organization and create an account, we collect your name, email address, and phone number. Authentication is handled by Clerk, our identity provider; your password and login sessions are managed by Clerk, not stored on our servers.

Content you create

Anything you enter into the product: projects, RFIs and their comments, daily logs (including notes on materials, equipment, weather, and safety incidents), time entries, follow-up items, folders, and files or photos you upload. Daily log and safety fields are free text, so please avoid entering health or other sensitive details about people unless your organization requires it.

Messages

FieldBuilds sends and receives SMS, MMS, and email on your behalf, and can connect to Slack. We store the full content of those messages, along with sender and recipient phone numbers or email addresses, timestamps, and any attachments, so that conversations stay attached to the right project.

Contacts you import

If you grant contacts permission, the app reads the name, phone numbers, email addresses, and photo of the contacts you specifically select to import, and stores them as FieldBuilds contacts in your organization. We do not upload your entire address book.

Location information

If you grant location permission, FieldBuilds collects your device's precise location (latitude and longitude) in order to:

  • show project and job site locations on a map;
  • automatically check you in and out when you enter or leave a job site geofence defined by your organization; and
  • record the time and coordinates of each check-in and check-out.

These check-in records build a location history that supervisors in your organization can view per person and per project, and which is used to support time tracking. Location is only collected while you are signed in. You can decline or revoke the permission in your device settings; the rest of the app continues to work, but automatic check-in and the map view will not.

Camera and photos

With your permission, the app uses the camera and photo library so you can attach site photos to daily logs and set contact pictures. We only access the images you choose.

Push notifications

If you enable notifications, we store a device push token so we can deliver alerts about messages, RFIs, and check-ins.

Payment information

Subscriptions are processed by Stripe. Card details are entered directly into Stripe and are never stored on FieldBuilds servers. We retain your billing email, plan, seat counts, invoice numbers, amounts, and status.

Diagnostics

The mobile app uses Sentry to report crashes and errors. This includes technical data such as device model, operating system, IP address, and the account associated with the error. Sentry's session replay feature is enabled, which means a recording of the app screens may be captured for a sample of sessions and for sessions where an error occurs, to help us reproduce problems. FieldBuilds does not use any advertising or product-analytics tracking SDKs.

3. How we use information

We use personal information to:

  • provide the platform and keep your team's data in sync;
  • authenticate you and enforce the permissions set by your organization;
  • deliver messages, notifications, and invitations across SMS, email, push, and Slack;
  • record attendance and time on site through geofence check-ins;
  • process subscriptions, seats, and invoices;
  • diagnose crashes, fix defects, and improve reliability; and
  • meet legal obligations and enforce our terms.

We do not sell your personal information, and we do not share it for cross-context behavioral advertising — including as those terms are defined under California law. We have not done so in the preceding twelve months. We do not use your content to serve advertising, and we do not use precise location to infer characteristics about you.

4. Who we share information with

We share data with service providers who process it on our behalf, under contract, and only for the purposes below.

We may also disclose information when required by law, to protect our rights or the safety of others, or in connection with a merger or acquisition — in which case we will notify affected customers.

5. Device permissions

The mobile app requests the following permissions. All of them are optional, and you can change your mind at any time in your device settings.

  • Location — to show job sites on a map and to check you in and out automatically at geofenced sites.
  • Camera — to take photos for daily logs and contacts.
  • Photo library — to attach existing photos and to save photos you export.
  • Contacts— to import contacts you select into your organization's directory.
  • Notifications — to alert you about messages, RFIs, and check-ins.

6. Retention and deletion

We keep your information for as long as your organization's account is active, because project records, daily logs, and communication history are the working record your team depends on.

You can delete your account from the app, under your profile. Doing so cancels any active subscription, removes your login from our identity provider so you can no longer sign in, and marks your account as deleted. Content you contributed to your organization — messages, daily logs, check-ins, files, and RFIs — is retained as part of that organization's project records. If you want that content erased as well, email us at privacy@fieldbuilds.com and we will handle the request, subject to the instructions of the organization that owns the data and to any legal retention obligations.

7. Security

FieldBuilds is operated from the United States, and our servers, database, and file storage are located in the United States. Traffic between the apps and our servers is encrypted with TLS, and our database requires encrypted connections. Files are stored in Amazon S3 and served through time-limited links. Access to production systems is restricted to authorized personnel. No system is perfectly secure, so we cannot guarantee absolute security, but we work to protect your information and will notify you of a breach affecting your data as required by the breach notification laws of your state.

8. Sensitive information and workforce location

California and several other states treat precise geolocation as sensitive personal information. FieldBuilds collects it, so we want to be direct about how it is used.

We use precise location only to display job sites on a map and to record geofence check-ins and check-outs for the organization you work with. We do not use or disclose it to infer characteristics about you, we do not use it for advertising or profiling, and we do not sell it. That means we use sensitive personal information only for the purposes permitted without a right to limit under California law — but you can still turn location off in your device settings at any time.

If you use FieldBuilds as an employee, contractor, or crew member of a company that subscribes, be aware that your check-in times and locations are visible to supervisors and administrators in that organization and may be used for timekeeping. Your employer decides whether to enable geofencing and is responsible for giving you any additional notice its state requires. This page serves as our notice at collection for that data.

9. Children

FieldBuilds is a workplace tool intended for use by adults in a professional setting. It is not directed to children, we do not knowingly collect personal information from children under 13, and we do not knowingly sell or share the personal information of anyone under 16. If you believe a child has provided us with personal information, contact us and we will delete it.

10. Your rights

FieldBuilds serves customers in the United States. State privacy laws — including in California, Virginia, Colorado, Connecticut, Utah, Texas, and Oregon, among others — give residents rights over their personal information. Depending on your state, those rights include:

  • Know and access — what we collect about you, where it came from, why we collect it, and who we disclose it to;
  • Delete — request deletion of your personal information, subject to the limits described in the retention section above;
  • Correct — fix inaccurate personal information;
  • Portability — receive a copy in a portable format;
  • Opt out — of sale, sharing for targeted advertising, or profiling. We do none of these, so there is nothing to opt out of, but the right stands; and
  • Non-discrimination — we will not deny service, charge you more, or give you a lower quality of service for exercising any of these rights.

California residents may also request the specific pieces of personal information we hold and the categories of third parties to whom we disclosed it. California employees, applicants, and contractors of our customers have these same rights with respect to workforce data.

To exercise any of these, email privacy@fieldbuilds.com. We will verify your identity before acting, respond within the time your state's law requires, and will not charge you for a reasonable request. You may use an authorized agent, and if we deny a request you may appeal by replying to our response. Because much of the data in FieldBuilds belongs to the organization that invited you, we may need to direct your request to that organization's administrator, and we will tell you when we do.

11. Changes to this policy

We may update this policy as the product changes. When we make material changes, we will update the date at the top of this page and, where appropriate, notify you in the app or by email. Continuing to use FieldBuilds after a change means you accept the updated policy.
